Job Description
Key Leadership Roles and Responsibilities
Finances
- Financial Management and Support: With the Deputy Director, oversee the finances and the finance systems in the organization to ensure financial health; produce reports for financial projections, track accounts, investments and budgets. Provide finance support to Fiscally Sponsored Projects.
- Audit: Oversee and supervise Senior Finance Manager who leads annual financial audit process to gather documents and prepare reports required by auditor; to review & process tax reports and records after audit
- Bookkeeping oversight: Oversee and supervise Senior Finance Manager who processes and tracks accounts payable & receivable; write checks; monitor bank and investment records, including monthly bank reconciliation; log petty cash; allocate and code income and expenses. The Finance and Operations Director reviews accuracy of payroll; process tax documents; track consultants and file proper reporting; and monitors finance systems and makes improvements as needed
- Budget: Coordinate annual budget process; compile organizational budget through component budgeting process; enter budget & track in the books; provide reports and training to increase financial literacy in organization; monitor and update budget as necessary. Help develop and monitor annual budgets and work plan for the Operations and Finance team.
- Reporting: Compile financial reports and narrative summaries for Development Team, discreet committees and the Board of Directors; prepare grant financial reports; process tax and legal forms.
Personnel
- Benefits Administration: Oversee medical, dental, vision insurance services, and 403b for staff; work with both insurance broker and financial advisor for tracking and annual renewal; process paperwork and reports as needed
- Consultants: Coordinate process for identifying consultants and overseeing contracts; process IRS and EDD reporting (w2 form, 1099misc)
- Hiring and onboarding: Oversee the maintenance and coordination of systems for the recruitment and hiring process for new staff, maintain information in hiring; support the orientation and onboarding processes
- Insurance Administration: Review and renew annual policies including workers compensation, property and D&O (director and officers liability); work with insurance broker; provide reports as needed
- Manage Personnel Issues: Provide support for staff in handling personnel grievances & procedures; be field questions to legal support as needed
- Personnel Policies: Maintain and update personnel policies, including clarification of terms; maintain personnel files; provide employee/salary verification requested by outside parties
- Staff Evaluations: Oversee the coordination of annual, introductory and exit evaluations for staff; support supervisors in completing process and maintain accountability protocol are followed
Office Management and Supervision
- Supervision and Team Coordination: supervise operations and finance team, plan and coordinate Operations and Finance Team meetings
- Systems and Procedures: support Operations and Finance Team in strengthening office systems, procedures and protocols
- Office Management: support Operations and Finance Team in managing equipment, maintenance, contracts, vendors, and supplies.
Additional Responsibilities and Shared Responsibilities
- Participate in CPA staff activities for planning and evaluation as needed
- Support other CPA campaigns, programs and organization-wide activities as needed
- This position may also include spending time on organizational-wide (such as electoral campaigns) and fundraising tasks as determined by organizational priorities and your supervisor.
Qualifications:

- Knowledge of issues impacting low-income Chinese immigrants in San Francisco
- Minimum of 5 years of experience in administration and finance
- Experience in supervision and mentorship
