About CAA 

Chinese for Affirmative Action was founded in 1969 to protect the civil rights of Chinese Americans and to advance multiracial democracy in the United States. Today, CAA is a progressive voice in and on behalf of the broader Asian American and Pacific Islander (API) community. CAA advocates for systemic change that remedies racial injustice, ensures equal opportunities for communities of color, reduces language barriers, and promotes immigrant rights. 

At the grassroots level, our community building work nurtures the ability of immigrants to participate fully in civic life. These activities include leadership development for monolingual public school parents, employment services for limited-English proficient newcomers, outreach for immigrant legal services, and community education underscoring issues that impact our constituency. 

To effect policy and cultural change, CAA is a progressive voice that helps shape opinion through ethnic, mainstream and social media, and engages low income and other community members with elected and government officials. CAA also helps grow a social justice movement through shared resources, including sponsorship of Asian Americans for Civil Rights and Equality, a growing network of nine API groups in northern California. 

About the position 

The Administration Manager is central to the operation of the organization. The position coordinates management of the facilities and some personnel related matters, and is also a member of the finance team. The Administration Manager is an exempt position reporting to the Associate Director, has a supervisory role in relation to the front desk Program Assistant, and works with program staff to coordinate with CAA’s community partners. The Administration Manager will be a thought partner with other administrative and program staff in a way that is open and that honors individual strengths and passions. 

Key Responsibilities 

Supervise and support front desk staff and provide leadership so clients and other visitors receive needed assistance. 

Supervise building maintenance staff so they have what they need to keep facilities clean and safe. 

Maintain workplace safety with periodic staff trainings, scheduling inspections, and review and update of CAA’s emergency response plan. 

With input from other staff, take active leadership in staff searches so vacancies are filled in a timely manner. 

Provide administrative support for community events sponsored by CAA, including the annual fundraising dinner. 

Provide personnel policy orientation for new employees. 

Administer employee benefit plans. 

Maintain personnel files, including annual review of administrative reminders for staff. 

Manage public use of CAA’s first floor Community Room meeting space. 

Manage vendor relations, including insurance providers. 

Maintain appropriate office and program supplies. 

Process semi-monthly payroll through Intuit payroll system and produce payroll reports. 

Handle record keeping for several financial transactions to help with appropriate separation of duties. 

Prepare documents for CAA’s annual financial audit. 

Maintain centralized calendar of administrative deadlines. 

Qualifications 

5-8 years of increasing responsibility in nonprofit management 

Demonstrated experience in positions that require organizational and analytical skills, and attention to detail 

Proficiency using spreadsheets and accounting software 

Accounting experience a plus 

Creativity and problem solving ability 

Dependability, good judgment, and good communication 

Able to work independently and as part of a team
