This administrative position is part of a five-person team that manages all aspects of the American side of an academic joint venture on behalf of Johns Hopkins University. The American Academic Coordinator resides in the Center in Nanjing, China and often has after-hours duties on weekdays and weekends. Because of the small size of the American staff, the American Academic Coordinator exercises substantial independent judgment in his/her work.

From the end of the school year in late June through the end of July each year, the Coordinator serves administrative, clerical and other functions for programs renting the HNC facilities.When the Center is closed for summer and winter breaks, the coordinator will telework on projects assigned by the American Co-Director or take annual leave.

Responsibilities:

Academic

  • Achieves and maintains a thorough and detailed understanding of the HNC curriculum, academic policies, and administrative requirements for the MA and Certificate programs
  • Advises international MA candidate on degree requirements and course planning relevant to their concentrations, and monitors on a semester basis to ensure that mileposts are being achieved
  • Coordinates with American faculty and the HNC academic office to produce the schedule of classes for each semester
  • Ensures that academic policies and procedures are followed, accurate transcripts and other academic records are kept, and registrar requirements of JHU and Nanjing University are met
  • Drafts, edits, and coordinates the annual publication of the bilingual HNC Academic Handbook and Thesis Advising Handbook
  • Advises the co-directors on potential conflicts and effects of proposed curricular changes, as well as issues raised by MA and certificate students

Faculty and Student Services

  • Acts as international student registrar, coordinating with the HNC Washington support Office to ensure timely and accurate recording of information relating to student registration
  • As international student registrar, supports student and alumni requests for documentation supporting applications for employment or education

In-Country Student Recruitment

  • Maintains contact with Chinese language programs for international students in China
  • In consultation with the Hopkins–Nanjing Center Washington Support Office (HNCWSO) admissions team, plans and implements four student recruitment trips per year to language and other types of programs in places such as Beijing, Harbin, Shanghai and Hangzhou, Taiwan, and other locations. Recruitment trips include traveling independently and giving introductory presentations about the HNC. In some cases, presentations must be given in Chinese.
  • Hosts prospective students who visit the Center throughout the year, giving facility tours, answering questions, and arranging for them to observe classes and meet with the American Co-Director

Administrative

Provides administrative, clerical and program support to the American Co-Director and to the joint staff of the HNC. Such tasks include, but are not limited to:

  • Preparing and implementing student orientation activities each fall
  • Coordinating with Washington-based colleagues to plan and implement annual Joint Academic Committee and Hopkins-Nanjing Council meetings
  • Coordinating with Career Services to assist with the annual HNC Career Day
  • Carrying out a range of English and Chinese editing and translation tasks for the Center
  • Planning and logistical support for conferences and individuals and delegations visiting the HNC

Computer & Other Special Needs for Position

Knowledge of Microsoft Office suite is essential, and other standard applications including spreadsheets, the internet and database management.

Degree of Independent Action Performed

While planning and carrying out recruiting trips and coordinating with external contacts, the American Academic Coordinator works independently approximately 70% of the time.

Internal & External Contacts

Internal contacts include HNC American and Chinese administrators and staff, the Hopkins–Nanjing Center Washington Support Office, and various colleagues at SAIS Washington, including the Office of the Registrar. External contacts include administrators of Chinese language programs within China and Taiwan, the Jiangsu Province International Travel Healthcare Center, Jiangsu Province Public Security Bureau, SOS International Medical Clinics in Beijing and Nanjing, and various local Nanjing organizations.

Skills and Knowledge

  • Experience living, studying, researching, and/or working in China
  • Bachelor’s Degree required, Master’s degree preferred.
  • Experience working in a bilingual setting
  • Administrative experience, preferably in an educational setting.
  • Must have oral fluency in Mandarin Chinese and should be able to read Chinese with ease
  • Excellent English-language speaking and writing skills are required
  • Proficiency in Microsoft Office Suite.
  • Ability to multi-task, while working under pressure and meeting deadlines required.
  • Attention to detail and executing timely follow-through on projects is essential.
  • Good sense of humor and ability to work with a variety of people required.
