General Nature and Purpose of the Job

This administrative position is part of a five-person team that manages all aspects of the American side of Johns Hopkins University’s academic joint venture with Nanjing University. The American Program Coordinator resides in the Center in Nanjing, China and often has after-hours duties on weekdays and weekends. Because of the small size of the American staff, the Program Coordinator enjoys a wide range of job duties and responsibilities and exercises substantial independent judgment in his/her work.

From the end of the school year in late June through the end of July each year, the Program Coordinator works off-site and provides administrative, clerical and other support for HNC programs.

Primary Duties and Responsibilities of the Job Administrative

Provides administrative, clerical and program support to the American Co-Director and to the joint staff of the HNC. Such tasks include, but are not limited to:

  • Preparing student orientation activities each fall
  • Assigning rooms to incoming students
  • Carrying out a range of English and Chinese editing and translation tasks for the Center
  • Producing the weekly Wednesday Morning newsletter
  • Assisting with event photography, media and other communication needs
  • Providing direct administrative support to the American Co-Director as needed
  • Providing support with written documentation, letters, correspondence, etc. as needed

Fellowships and Financial Aid

  • Serves as the main point of contact for issues concerning recipients of named fellowships
  • Facilitates communication between donors and the recipients of fellowships named in their honor
  • Acts as liaison between students and the SAIS Office of Financial Aid in Washington, DC, as necessary

Work-Study Students

Responsible for all processes in the management of work-study students, including but not limited to:

  • Establishing eligibility to work
  • Scheduling work hours
  • Verifying that work was carried out
  • Submitting signed time sheets to the SAIS Business Office in a timely manner

Visitor Services

Coordinates arrangements for use of the HNC facilities by non-Chinese users (around 150 visitors per year). Such uses include, but are not limited to:

  • Visits by JHU and SAIS faculty, and other groups and individuals
  • Conferences and workshops
  • Academic study tours
  • Other visiting groups

Facilities

  • Plans and organizes activities to orient HNC international students to the surrounding community throughout the year
  • Carries out daily walking tours of the HNC facilities and reports safety, security, maintenance, and other issues
  • Monitors use of facilities by students for student activities
  • Stocks, monitors, takes inventory, and prepares faculty offices and apartments, student and guest rooms

Qualifications

High School Diploma/GED and 3 years of related experience required; Bachelor’s Degree strongly preferred. Knowledge of Microsoft Office suite, and other standard applications including internet and database management applications needed. Strong written and oral communications skills required. Familiarity with photography equipment and experience with creating content for social media is desired.

This position is located in Nanjing, China, candidates must have reading, written and oral fluency in Mandarin Chinese. Fluency in English also required. The desirable candidate should have experience living, studying, researching, and/or working in China, experience working in a bilingual setting, and administrative experience, preferably in an educational setting. Experience in student affairs or other work in higher education is highly desirable.

Preferred Qualifications

The selected candidate must be able to make a minimum two-year commitment.
