Founded in 2006, Brookings-Tsinghua Center is a unique partnership between China’s Tsinghua University and The Brookings Institution in Washington, DC. It is a leading think tank in China that produces high quality and high impact policy research in areas of fundamental importance for Chinese society and for better U.S.-China relations. In addition, it serves as a significant platform for U.S.-China dialogues on a number of important topics, bringing together researchers and policy makers to enhance mutual understanding and cooperation.

The Center Coordinator provides day-to-day administration assistance to the Director and the Center. Helps to organize all China-based activities for the Brookings Tsinghua Center (BTC), including arranging travel, hotel, catering and reimbursement. The Center Coordinator supervises the Center’s interns.

Responsibilities

Operations and Administrative Support (50%)

  • Meets regularly with BTC Director and other staff to coordinate and track scheduling of BTC activities, meetings, and conferences; responsible for all appointment scheduling for BTC staff and visiting Brookings fellows and guests.
  • Respond in an appropriate and timely manner to all internal and external requests for information on the BTC and its programs
  • Distribute mail and email or fax memos/documents; route material to appropriate staff for action
  • Receive, screen, and place initial and follow-up calls
  • Manage and catalogue memoranda, reports, meetings notes and other written material using the Brookings shared drive and Microsoft SharePoint software
  • Maintain detailed records of scholar’s activities ,including publications , meetings , media contacts, etc
  • Serves as liaison(with the guidance from the Director and Center Manager) between Brookings-Tsinghua Center and Tsinghua University administrative staff and subaccount administrator
  • Conducts other relevant work as requested

Event Coordination and Financial Assistance (50%)

  • Works with the Program Coordinator to draft event announcements, arrange invitations lists, monitor RSVP and attendance lists for all events at the BTC
  • Under the supervision and instructions of the Center Manager and Director, schedule and coordinate travel arrangements and prepare travel expense forms for reimbursement
  • Assists Center Manager and Director with P-Card paperwork and other financial tasks
  • Maintains all financial files

Qualifications

Education/Experience Requirements:

 

Bachelor’s degree required. Minimum two years of relevant work experience including administrative experience in an office with varied responsibilities and a fast work pace. Strong verbal and written language skills in both English and Mandarin Chinese are required.

 

Knowledge/Skills Requirements:

 

Ability to handle multiple tasks and demanding deadlines. Capacity to learn software programs. Must possess poise, discretion and mature judgment to respond appropriately and in professional manner in fast-paced atmosphere; ability to smoothly manage tasks and proactively set priorities; ability to identify and address new responsibilities.  Must also have ability to effectively utilize the Internet as well as strong proficiency in Microsoft Word, Excel, Power Point, Access, web formatting, social media, and other software utilized in contemporary office environment.
