JOB DESCRIPTION: The JUMP! Foundation is currently seeking a skilled Head of Operations for its China Office. This individual will be an outgoing and goal-oriented professional who will play a lead role in establishing a multi-regional organizational structure, which is currently split between Bangkok, Thailand and Beijing, China. The Head of Operations – China will manage day-to-day business operations, including financial responsibilities associated with program delivery, organizational budgeting and forecasting, and accounting. He/she will also effectively solve problems through personal initiative, accurately communicate with the JUMP! Foundation’s multicultural and international client base, and efficiently work as part of a small, dedicated team.

The Head of Operations – China will work closely with the Executive Director to manage tasking, monitor progress on organizational priorities, and ensure that operational systems are running smoothly. This role will also interact regularly with JUMP!’s China partnership managers to ensure quality and cohesion of programs, maintain alignment of JUMP!’s strategic goals, and to provide input on other organizational projects.

JOB RESPONSIBILITIES: The Head of Operations – China will have competence and flexibility in a variety of responsibilities including, but not limited to, the following areas:

  • Finance and Accounting
    • Contributes to financial planning process and contributes to short and long-term forecasts that inform strategic plans
    • Works with the Operations Officer and external accountant to collect and analyse financial information to inform strategic organizational decisions and drive the implementation of the strategic plan
    • Liaises with partners to ensure WOFE compliance and regulations
    • Oversees the program finance process, including contracting, invoicing, payment tracking, expense reimbursement, and post-program evaluation of budget vs actual expenditure
    • Approves hub and program budgets, and liases with external accountant and timely payments to internal and external parties
    • Manages hub Operations Team (Operations Officers and external consultants) to ensure bookkeeping is kept up to date and liaises with JUMP!’s senior management in Bangkok to ensure smooth flow of information between two hubs
  • Human Resources
    • Supports the organizational staffing needs with management team, and drives forward recruitment process
    • Implements, maintains and reviews recruitment and on boarding/induction systems and processes
    • Maintains hub payroll and leave schedule, and reviews compensation package structure revisions
    • Manages and updates staff members’ files (bios,emergency contacts,medical insurance, criminal record checks, etc)﴿
    • Leads human resource and staff orientation needs (visas, staff apartments, etc.)
  • Office Management
    • Manages day-to-day administration of the JUMP! China office (e.g. oversight of rent and utilities).
    • Coordinates travel and transportation arrangements for staff • IT
    • Supports management of IT platforms including Googlesuite, Box, CRM system, Expensify, Xero, Organisational Wiki, and the website

REQUIRED SKILLS AND QUALITIES:

 

 

  • Minimum 5+ years of management experience in finance, accounting and human resources, or similar, preferably in a wholly foreign owned enterprise (﴾WFOE)﴿ or NGO in China
  • Experience in financial modeling
  • Fluent in Mandarin with advanced English skills
  • Excellent time management and ability to prioritise multiple requests and deadlines
  • Excellent communication skills with ability to connect with a variety of partners, including but not limited to, internal and external stakeholders, lawyers, accountants, and advisors
  • Advance Excel skills, proficient in Microsoft Word and Powerpoint
  • Bachelor of Business or equivalent qualification

PREFERRED QUALITIES:

  • Interest in experiential education and passion for working with youth.
  • Preferably hold an MBA qualification.
 

 

REPORTS TO: Executive Director

COMPENSATION:
Salary & Compensation will be commensurate with skills, qualifications and experience.
