Position Summary

Administers projects related to U.S.-China education exchange and provides support to all aspects of USCET’s programs. Monitors grants and budgets. Assists in drafting grant proposals, donor reports, and prepares briefing and speech materials for the president. Liaises with program partners in the U.S. and China under the guidance of the program director. Maintains databases and program websites and coordinates the editing, writing, and updating of web content. May supervise interns. Performs other duties as assigned by USCET senior staff.

 

Essential Functions and Responsibilities

1. Project Administration: Assists in program development activities based on research on issues related to U.S.-China relations through education and exchange programs with a focus on American Studies and Media Education.

2. Program Implementation and administration: Implements and tracks project activities in support of the program mission, including but not limited to the following:

  • Identifies and supports in liaising with program partners in China and the U.S., under the guidance of the program director. Assists in development and implementation of joint projects focused on advancing U.S.-China relations.
  • Monitors progress and evaluates effectiveness of program activities. Assists in establishing project implementation timelines and implement Monitoring and Evaluation (M&E) plans.
  • Works with internal and external partners to accomplish goals and objectives of other related projects. May supervise interns working on assigned projects.

3. Budget and Grant Support: Tracks program budgets and keeps accounts updated in QuickBooks. Supports program director in development and management of grant budgets and monitors expenditures for specific projects. Prepares timesheets and expense reports.

4. Grant Writing and Reporting: Assists program director in writing program concept papers and developing grant proposals. Drafts reports to donors, which may include individuals, foundations, and governments.

5. Communication and Outreach: Updates website and social media information. Coordinates and tracks online surveys and questionnaires, and responds to donor inquiries. Prepares newsletters and communications with Chinese and American partners.

6. Office Administration: Works with the Chief of Staff in performing general office administrative duties, including filing, answering the phone, keeping the office in order; maintains and updates USCET databases.

7. Other Duties as Required: Assists with event planning related to fundraising and programs, handling logistics, preparing guest lists, drafting and tracking invitations. Provides travel logistical support by USCET staff and others as necessary.

 

Qualifications

1. Bachelor’s degree in a relevant field.

2. Minimum of 2 years of work experience.

3. Proficiency in Microsoft Word, Excel, Power Point, Mail Chimp.

4. Ability to multi-task and manage details.

5. Excellent written and oral communication skills.

6. Ability to work independently and as a team.

7. Chinese language capability and China experience preferred.
